The cheapest-looking print quote may simply describe a different job. Before comparing suppliers, make sure each quotation responds to the same specification. Otherwise, you may be comparing a single-sided basic print with a double-sided finished item.
Build one comparison specification
Write down the finished size, quantity, number of versions, printed sides and material requirements. Include any folding, binding, lamination, numbering or other finishing. If you are unsure which material you need, request a recommended option and ask the supplier to identify it clearly.
Use the same brief for every quote. If one supplier suggests a useful alternative, compare it as a separate option rather than silently substituting it into the original comparison.
Check quantities and units
Confirm whether a price refers to one item, a pack, a stated quantity or an area measurement. Look for distinctions between printed sheets and finished pieces. For multi-part work, check whether all components are included.
A low unit price attached to a much larger quantity may require more cash overall and leave you with stock you cannot use.
Identify excluded services
- Design or artwork correction.
- Additional design versions.
- Physical samples or special proofing.
- Finishing and assembly.
- Packaging, collection or delivery.
- Any applicable taxes not already included.
Ask for clarification in writing where an inclusion is unclear. Do not assume a service is free merely because it was not mentioned.
Compare deadlines on the same basis
Ask when the production period begins: after quotation approval, payment, artwork approval or another agreed step. A stated turnaround is difficult to compare if the starting conditions differ.
Separate production completion from delivery. For a customer outside Harare, transport arrangements may affect the date the material is actually available for use.
Consider risk and suitability
Check samples where the material or finish is important. Ask how the order will be checked and what happens if the supplied result differs from the approved specification. Keep your proof and quote together so any discussion is based on a clear record.
The right choice is the quote that meets the job’s requirements at an acceptable total cost—not necessarily the most expensive or the lowest figure on the page.
