A repeat order should not depend on finding the right attachment in months of messages. An organised artwork folder helps a business reorder stationery, flyers and branded materials without accidentally restoring an old phone number or design.
Keep source files and approved output separate
The editable design and the approved production file serve different purposes. Keep both where available, but label them clearly. A working file may contain unfinished changes, while a final PDF may be suitable for reprinting but inconvenient for later editing.
Do not overwrite the only approved version whenever someone requests a change. Retain the previous file as a historical record and identify which version is current.
Use meaningful filenames
A filename such as “flyer-final-final-new” creates uncertainty. Use a consistent pattern that identifies the item, version and approval date. For example: “A5-service-flyer-v03-approved-2026-09-19.pdf”. The exact naming convention matters less than using it consistently.
If an item has separate front and back files, make their relationship obvious. For multilingual or branch-specific versions, include the language or branch in the name.
Save a specification note with the artwork
- Finished size and orientation.
- Number of printed sides.
- Paper, material or garment specification.
- Finishing or assembly requirements.
- Approved quantity from the previous order.
- Any supplier instructions relevant to reproduction.
A design file cannot always explain the material used last time. Recording the specification prevents a reorder being treated as identical when the physical product has changed.
Record who approved the file
Keep the approval message or a short log naming the approver, date and version. Store reference photographs of the finished item where useful, but do not substitute photographs for the original artwork.
Limit editing access to people who need it and keep a recoverable backup. The folder should be accessible to the business, not only to an individual employee’s personal account.
Recheck before every reorder
“Print the same again” should still trigger a quick review of contacts, dates, prices and staff names. Ask whether the previous material remains available and confirm the current quotation. A retained file is not a guarantee that every commercial detail remains unchanged.
