A customer should not receive three different versions of the same offer from your flyer, product page and WhatsApp reply. Consistency starts with one approved record of the offer, then a controlled process for adapting it to each channel.
Define the offer completely
Record the product or service, specification, quantity, price basis and inclusions. State any conditions, expiry date and separately charged components. The record should explain what a customer receives, not only display an attractive headline amount.
For custom work, identify the information needed for a quote instead of forcing a fixed price onto every variation.
Assign an owner to changes
Choose the person who can approve price or condition changes. When a promotion changes, update the master record first. Keep the date and reason for the change so staff know which version applies.
A designer or social media assistant should not have to infer the latest approved price from several conflicting messages.
Maintain a channel checklist
- Product or service page.
- Current social media campaign posts.
- WhatsApp catalogue or prepared replies.
- Printed flyers and posters still in circulation.
- Sales quotation templates.
- Staff briefing notes.
Not every old social post needs rewriting, but time-limited offers should be clearly dated. Printed stock deserves particular attention because it cannot be changed after distribution.
Adapt the layout, not the meaning
A short advert may contain less detail than a product page, but it should not contradict it. Preserve the same quantity basis, essential inclusions and important conditions. Avoid enlarging a low “from” price while removing the specification that explains it.
When space is limited, direct customers to the full current details and keep any material restrictions visible.
Test the customer journey
Follow the offer as a customer would: see the advert, open the destination and ask a sales question. Check whether staff can explain the same specification. Record confusion so the wording can be improved before more materials are produced.
