The right time to start a year-end corporate gift order depends on the item, quantity, personalisation and delivery arrangements. Instead of relying on a generic promise of fast turnaround, build a timeline backwards from the date recipients must receive their gifts.
Start with the handover date
Identify the actual occasion: an office visit, staff function, client meeting or delivery round. If recipients will close their offices early for a break, that may affect distribution. The date the supplier finishes production is not necessarily the date the gift reaches the recipient.
For several delivery towns, plan the handovers separately rather than assuming one dispatch date covers every destination.
Allow time for decisions before production
Selection and internal approval can take longer than expected. Agree the budget owner, recipient groups and gift purpose first. Then compare currently available options and confirm the specification.
- Recipient list and quantities.
- Item selection and written quotation.
- Logo files and personalised names.
- Artwork proof and approval.
- Production and order checking.
- Packaging and distribution.
Ask the supplier which steps must be completed before a production slot can be confirmed. Do not treat an enquiry or an unapproved quotation as a reserved order.
Identify the slowest dependency
A personalised pack can be delayed by one missing name list. A multi-item gift can be held up by one unavailable component. Ask what depends on stock, proof approval or information from your team, and assign someone to resolve each dependency.
If the deadline is tight, simplify deliberately. A readily available item with straightforward branding may be more practical than a complex pack whose components have different lead times.
Leave room for checking
Plan to inspect quantities, item versions and personalised details before handover. Distributing gifts immediately on arrival leaves little opportunity to identify an allocation error. Keep the approved list available during packing.
Where timing is uncertain, agree an alternative before promising a presentation date to recipients. Avoid replacing items without confirming whether the substitute meets the purpose and budget.
Keep the plan visible
Use one schedule showing the owner and deadline for each step. Update it when the quantity, item or artwork changes. A revised order may require a revised delivery commitment.
