Event branding can be ready on time and still be difficult to use if venue arrangements are unclear. A short access checklist helps the organiser, delivery team and display supplier work from the same information.
Confirm the correct location and contact
Record the venue name, event area and exact delivery entrance. A public entrance may not be the approved loading point. Obtain the name and telephone number of the person authorised to receive the materials.
Check whether vehicles need advance registration, whether unloading space is limited and who will move items from the delivery point to the stand.
Agree the setup window
Ask when exhibitors may enter and when the area must be ready. Allow for unpacking and checking the display rather than scheduling arrival at the event’s opening time. Confirm whether the venue requires all packaging to be removed or stored out of sight.
If the event runs for several days, establish whether branding can remain in place overnight and who is responsible for it.
Check the allocated space
- Stand or display-area dimensions.
- Table sizes and quantities.
- Ceiling or overhead restrictions.
- Access routes that must remain clear.
- Approved locations for freestanding displays.
- Rules for attaching materials to walls or other surfaces.
Do not assume that a venue permits drilling, adhesive fixing or hanging materials from its structure. Obtain the relevant approval and use suitable professional installation where required.
Plan for the actual environment
Tell the supplier whether the display is indoors, outdoors or in a partly sheltered area. Ask about appropriate equipment and setup instructions. For outdoor events, follow venue and manufacturer guidance on weather and secure use; do not improvise unsafe supports.
Confirm any power needs with the organiser. Electrical connections should be handled by authorised personnel rather than improvised by the branding team.
Prepare the return journey
Record the breakdown time, collection point and person responsible for checking returned components. Keep storage bags, fittings and instructions together. Photograph the packed kit or use an inventory so missing parts can be identified before the next event.
