A uniform programme does not end when the first order is issued. New employees, replacements and role changes create smaller follow-up orders. Keeping the original specification organised makes those reorders easier to manage.
Retain the complete garment specification
Record the garment style, colour, fabric description where supplied, size chart and branding positions. Keep reference photographs, but do not rely on photographs alone to identify a shade or material.
Store the approved logo file and any artwork adjustments made for the chosen branding method. A logo taken from a recent social post may not be the same production file used on the uniforms.
Separate staff allocation from reserve stock
Keep a record of what each employee received and maintain a separate stock list for spare items. Note the size, style and branding version. A box described only as “extra shirts” is difficult to use for a reliable reorder decision.
Check stock physically before placing an order. A spreadsheet balance may be outdated if items were issued without being recorded.
Reconfirm fit for each new starter
Use the current garment’s size chart or a fitting sample where practical. Do not assign a new employee the size of the person they replaced. Confirm any personalised text before production.
- Garment and colour required.
- Confirmed size.
- Number of pieces.
- Department or role-specific branding.
- Required issue date.
Expect to recheck availability
A previous order does not guarantee that the identical garment will always remain available. Ask the supplier to confirm the specification before approving a reorder. If a substitution is proposed, compare it with the existing uniform and decide whether the difference is acceptable.
Do not allow a materially different style to be treated as an identical replacement without review.
Use sensible reorder intervals
For regular recruitment, consider grouping non-urgent requirements into planned orders. Balance any minimum quantity or cost considerations against how quickly staff need their uniforms. Keep urgent and routine requirements clearly separated.
Inspect new deliveries against the approved specification and update the issue records after distribution. This keeps the next reorder based on accurate information.
