Corporate Gift Approval: Checking Logos, Names and Quantities

Gift-order errors often begin in the approval list, not on the production line. A misspelt name, duplicated recipient or outdated logo can be reproduced accurately and still make the finished gift unusable. A controlled approval process helps prevent that.

Create one master order list

Record each gift type, its quantity and any personalisation. If a pack contains several items, list the contents clearly rather than describing it only as a “premium pack”. Include the colour or version wherever there is more than one option.

Keep allocation information separate from artwork instructions. The supplier needs the exact text to reproduce, but does not need unrelated notes about the customer relationship.

Check personalised names line by line

Do not assume that an email display name is the approved engraving or printing name. Confirm spelling, initials and preferred capitalisation with the person responsible for the recipient list. Check that titles are appropriate and consistent.

For example, an order containing 40 gifts and 38 personalised names is not complete until the two remaining items are explained. They might be unpersonalised reserves, or they might indicate missing information.

Approve the right logo version

Identify the master logo file and check its proportions on the proof. Review visibility against the actual item colour. A logo that works on a white page may need an approved alternative when placed on a darker cover or another surface.

If the branding method cannot reproduce a fine detail, ask for a proposed adjustment and approve it explicitly. Do not leave the supplier to redesign the identity without agreement.

Reconcile quantities and packaging

  • Does the recipient total match the personalised item total?
  • Are reserve items listed separately?
  • Does each pack contain the agreed number of components?
  • Are different versions labelled clearly?
  • Are delivery allocations consistent with the overall order?

Record the approval and receiving check

Send one final approval identifying the proof and list version. Keep a copy with the quotation. On receipt, check quantities and personalisation before distributing gifts; once packs are handed out, resolving an allocation error becomes harder.
