How to Prepare a Printing Brief for a Harare Print Shop

“How much is printing?” is a reasonable starting question, but it leaves too many variables for an accurate quote. A short, complete printing brief lets a supplier assess your order without guessing the size, quantity or finishing.

Describe the finished item

Start with the item you need and its purpose. “A two-sided flyer to advertise a shop opening” is more useful than “something like this picture”. State the finished size and whether the work is flat, folded, bound or otherwise assembled.

If you do not know the material, explain how the item will be used. Will people write on it? Will it be handled repeatedly? Is it intended for a short promotion or longer use? Ask the printer to recommend a specification rather than choosing a paper name you cannot verify.

Separate quantity from versions

An order for 1,000 copies of one design differs from 1,000 copies split across several designs. List the quantity for each version. For personalised work, describe what changes between copies and provide a clean spreadsheet or other agreed data format.

Do not send several lists with unexplained differences. Identify the final list and nominate the person authorised to approve corrections.

Explain the artwork status honestly

  • Ready artwork: provide the file and ask for a production check.
  • Existing design needing changes: list each requested revision.
  • No design yet: supply wording, logo and suitable images.
  • Only a sample available: explain which features you want to retain.

A screenshot can communicate an idea but should not automatically be treated as production-ready artwork. Ask what source files are needed before agreeing a deadline.

State when and where the work is needed

Give the date the items must be in your hands and explain whether collection or delivery is required. An event date alone is insufficient if the materials need distributing beforehand. For orders outside Harare, include the destination town and allow for transport separately from production.

Use this enquiry structure

Item: [what you need]
Finished size: [dimensions]
Quantity: [copies per version]
Sides and finishing: [requirements]
Artwork: [ready, revisions or design needed]
Required date: [when you need it]
Collection or delivery: [location]

Ask the quote to identify design, production and delivery separately where relevant. Keep the agreed brief with the final proof so everyone checks the same specification.
