A corporate gift budget should cover the delivered gift, not just the blank item. If branding, packaging and transport are left until the end, the final order may exceed what the business intended to spend.
Set a total ceiling and a recipient count
Start with the amount available for the whole project and a confirmed recipient list. Divide the total by the number of recipients to establish an initial allowance. This is a planning figure, not the maximum you can spend on the item alone.
If different groups will receive different packs, assign separate allowances. Record the reason for each group so the budget remains understandable when another person reviews it.
List every cost component
- The base item and any selected variation.
- Logo application or other branding.
- Artwork preparation and revisions where charged.
- Individual names or other variable text.
- Packaging, inserts and pack assembly.
- Collection, transport and onward distribution.
Ask whether the quotation includes applicable taxes and identify any exclusions. A price described only as “per gift” may leave important assumptions unresolved.
Compare like-for-like options
Ask suppliers to quote a clearly defined specification. If one option includes a notebook and pen while another includes only the notebook, compare the total packs rather than the headline prices. Check size, material, branding position and quantity before concluding that one offer is better value.
Where the preferred pack exceeds the budget, change a specific component. Removing an unnecessary accessory may protect the usefulness of the main item more effectively than reducing every component’s quality.
Keep reserves visible
Separate spare gifts from the confirmed recipient count. A reserve can cover late additions, but it should be an approved quantity. Also distinguish a budget contingency from extra physical stock: they are not the same thing.
For dated items such as diaries, consider how useful leftover stock will remain after the intended distribution period.
Track commitments before paying twice
Maintain a simple record of approved quantities, supplier quotations, payments and remaining balances. Make one person responsible for changes. When departments add recipients, update the full budget rather than assuming the original allowance can absorb everything.
